Vehicle data: year, make, model, and engine

The most important field — and the most frequently skipped. A quote without confirmed engine specs delivers the wrong part. Always confirm: exact year, make, full model name, and engine displacement or type (1.6L, 2.0T, diesel, etc.). For critical parts, also confirm transmission type (automatic or manual). Manufacturer part number

The part number is the exact reference that removes ambiguity. If cross-referencing is needed or the part is unavailable, the part number is the starting point for finding an alternative. In case of returns or disputes, the part number in the quote is evidence that the correct part was quoted. For OEM parts, use the original manufacturer number. For aftermarket, use the alternative supplier's number.

Full description with quality level

Never write just "brake pad" or "shock absorber". The description must include: full part name + brand + quality level. The mechanic needs this information to communicate it to their end customer and to compare it with other quotes they receive.

Price with tax breakdown

Show the price three ways: price before tax + tax amount + total price with tax. Many shops work with tax credits and need the breakdown for their accounting. Also indicate whether the price includes delivery or if shipping is additional. Avoid ambiguous pricing like "$450 + tax" without specifying the base — the customer may miscalculate the total.

Availability and delivery time

Clearly indicate whether the part is in stock (available today) or requires a special order with an estimated delivery window. Never quote a special-order part as if it were in stock — this creates false expectations that turn into lost customers. If the part is unavailable, say so: "Not in stock, but we can get it in 48 hours." Transparency about delivery times builds more trust than pretending to have everything.

Quote expiry (24–48 hours)

Every quote must have an explicit expiry date. The industry standard is 24 to 48 hours. This serves two purposes: it protects the parts store from supplier price changes, and it creates real urgency for the customer — if they wait too long, the price may change.
