When your catalog and your shelf don't match:
why it happens and how to fix it
Your system says you have the part. The customer asks for it, your salesperson goes to the shelf and finds something else, or nothing at all. The sale goes cold while somebody looks. It is rarely one person's fault: the name, the number and the equivalence of the part don't say the same thing on the screen as on the shelf. This applies to companies in Mexico, Colombia, Argentina, Chile and Peru.
Why do the catalog and the shelf say different things?
Because the same part gets entered under different names and numbers, and the cross-references live in somebody's head instead of in the system. When a customer asks for a part, the screen and the shelf speak different languages.
- One part, several numbers. The original number, the alternate manufacturer's number and another supplier's number are the same part, and each person enters the one they know.
- Descriptions that don't say which vehicle it fits. In many catalogs the detail your salesperson needs is written in the description, not in a column you can filter.
- Cross-references nobody wrote down. "This filter is the same as that one" is known by your best salesperson; the system doesn't know it.
- Parts that were moved, sold or entered under another code. The screen falls behind the shelf.
What it looks like day to day
Three real cases of why a sale is lost, as they show up in the conversations:
| What happens | What failed |
|---|---|
| They ask for a Jetta 2.5 filter and get the spin-on when it needed the cartridge type | The catalog doesn't say which of the two that version takes |
| They ask for "the light switch" and are told "we don't carry it", while having it in stock | The part exists, but under another name in the system |
| They ask for "plumas tipo plátano" and the catalog says "tipo banana" | The customer's word and the catalog's word never meet |
Our own measurement: 244 requests judged one by one at 5 auto parts stores, July and August 2026. In 3 of every 10 requests nobody found the part. Of 70 requests nobody resolved, in 69 the part was in the catalog. Inventory wasn't missing: the search was failing.

Let's be clear: Suplifai does not do the physical count of your shelf. That stays with your inventory. What it fixes is the catalog side, so that the right number, name and cross-reference lead to the right part:
- It understands the part number and the shop slang and matches them to the SKU in your catalog.
- It resolves cross-references against your real catalog, so what you see on screen is what you actually have.
- It enriches the catalog: it leaves each part ready for the AI to find, with which vehicle it fits and what each product is.
- Price and SKU come from your catalog.
How to check whether this is happening to you
- Take the latest parts customers asked for that weren't found on the first try, and look at why: a different name? a different number? the vehicle wasn't stated?
- Collect the cross-references your best salesperson says from memory and see which ones are written in the system.
- Compare what the screen says about a part with what sits in its place on the shelf.

Frequently asked questions
Why does my system say I have a part that isn't on the shelf?
Almost always because the part was entered under another code or name, was moved, or was sold without being deducted. The system and the shelf stop saying the same thing.
Does Suplifai count my shelf?
No. Suplifai does not do the physical count. What it does is resolve the right cross-references against your real catalog, so the number and the name the customer asks for lead to the right part.
What is an auto parts cross-reference?
It's when two different numbers or two different brands correspond to the same part, or to a part that can replace it. If it isn't written in your system, only the person who remembers it knows it.
What if my catalog is incomplete?
Suplifai enriches the catalog inside its platform: it leaves each part ready for the AI to find, with which vehicle it fits and what each product is.
